The Consolidated Request is a system designed and developed by the Information Technology department that combines Room Reservations from several different departments and all Media Requests into one adaptable dynamic database driven system. The system enables the Regent community to easily request Media Services equipment or support and to easily request Room reservations with the ability to see what rooms are available and what equipment is installed in each room. This system automates many behind-the-scenes administrative processes that enable users to be better stewards of our resources.
If you want each room request to have the same start and end times, then just select the default Event Start and End times.
Otherwise, after selecting the rooms you want to have in your request, select the check box next to Time Settings labeled click to configure different times for multiple dates.
For each date, you are given the option to modify the Event Start and End Times. If you do not need a room on a specific date, select the checkbox next to the room that you do not need. Then press the Save Selectd start and end times link. Perform this step for each date you have selected. Then select the Submit saved dates link.
The new system was designed so that the Regent community can easily view which rooms are available for a given time period that they want to use the room for. This removes the need to guess which rooms are available and saves time and effort for the administrative departments and the User.
The left hand navigation menu provides links to view the Calendar, which shows all rooms and their installed equipment. To see what each room looks like, click the Show Room Information button which will display a static room picture, a 360 degree view of the room, and lists all installed equipment for that room. Move the mouse over each equipment item to view detail information about the equipment.
New requests are displayed with the time and are pending approval. Cancelled requests are displayed with the time. All other displayed requests for a given date have been approved. If you move the mouse over a specific request, information about that request will be displayed.
You will receive an initial email confirming the receipt of your Consolidated Request. Each individual Consolidated Request can have mulitiple departments that need to approve the request. After all administrative departments have reviewed and approved or denied the request, you will be contacted via email or phone with the status of your Consolidated Request.
