Special Project Pay Timesheet Policy

"Exempt/salaried" employees do not ordinarily receive extra pay for special projects or assignments in their own school/department or in another school/department, except those employees who are offered an adjunct teaching contract. All requests for extra pay for an exempt salaried employee must be approved in advance by a vice president of the university. When an exception (other than an adjunct faculty contract) is approved by a vice president, the "Special Project Pay Time Sheet" located at http://www.regent.edu/admin/hr/forms/6031NSpecialProjectPay.doc will be submitted directly to Payroll after it has been signed by the employee, the department manager and the approving vice president.

When requesting approval, please provide sufficient information for the vice president to determine whether the special project or assignment would in any way lessen the employee's effectiveness, productivity, attendance or availability in his/her primary job; how it would be more logical and/or more cost effective to assign the project to a Regent employee than to someone outside the university; whether there is sufficient justification for the assignment to be considered as exceeding the scope of the individual's responsibilities and expectations as a salaried employee of the university; and any other relevant information."

The "Special Project Pay Time Sheet" may also be used to pay "nonexempt" employees (regular full time or regular part time) for work to be charged to a cost center other than the employee's usual cost center. In the case of nonexempt employees, please keep in mind that all hours worked in all cost centers are combined to determine if overtime pay is due. Overtime is paid at the rate of one and one-half the usual hourly rate when a nonexempt employee works more than 40 hours in a work week. "Special Project Pay Time Sheets" for nonexempt employees must be approved by a vice president of the university. Adjunct faculty contracts are an exception to the policy for "nonexempt" employees.

PLEASE NOTE: The "Special Project Pay Time Sheet" is to be used only for "regular full-time" and "regular part-time" employees. The "Temporary Time Sheet" is used to pay temporary staff, graduate assistants and student workers for hours worked in a cost center other than the employee's usual cost center.
