Time Card

Compassionate Leave

Compassionate leave is available medical leave donated, for the current calendar year, to another employee who has used all of his/her medical and vacation leave. An employee may receive no more than ten days of compassionate leave per year from fellow employees. An employee may donate no more than two days of medical leave per year. Compassionate leave requests should be directed to the Human Resource Department by memo explaining circumstances. After receiving the supervisor's approval, Human Resources will coordinate the transfer of leave with the payroll office.

If you give compassionate leave:

- The hours donated will be adjusted from your leave balance at the end of the calendar year by the payroll office.

If you receive compassionate leave:

- The hours donated will be adjusted to your leave balance at the end of the payroll period by the payroll office.

- Please record hours used under medical leave.

Bereavement Leave

Regular employees bereaved of an immediate family member including spouse, children, parents, brothers or sisters, will be granted time off from work up to five work days with pay. In the event of the death of a relative not within the immediate family, up to three work days off with pay will be given. This is to include aunts, uncles, nieces, nephews, grandparents, grandchildren and parents-in-law, brothers-in-law, and sisters-in-law. Time off must be approved using a Leave Request Form.

If you received bereavement leave:

Record the days that you were gone on bereavement leave in the comment section of the time card or leave report (state that it was bereavement leave).

If you fill out a time card, put the normal number of hours worked (usually eight hours) for the days gone under other leave. If you fill out a leave report, there is nothing else to fill out.


Specific questions regarding bereavement leave should be directed to the Human Resources Department.
Specific questions regarding recording bereavement leave on your time card should be directed to the payroll office.

Missionary Leave

Full-time faculty and staff who have been employed by Regent University for three consecutive years are eligible for one week's paid leave of absence during their fourth year of employment, as well as every second year thereafter, for missionary service. (CBN "transfers" must have worked at least one full year at Regent University.) This leave of absence is primarily for international missionary service; however, domestic missionary endeavors may also be considered.

Requests for up to five days of paid Missionary Leave should be directed to the Human Resources Department. The request should be made by letter or memo from the requesting employee, with attached documentation from the sponsoring ministry or church verifying the employee's participation, and a Leave Request Form signed by the employee's supervisor and department head verifying departmental approval of the requested time off from work.  If the employee meets the eligibility criteria and provides the appropriate documentation, the vice president for Human Resources will write "approved" on the request letter/memo and will sign it.

The approved request must be sent to the payroll office prior to the relevant pay period. Record the days that you were gone on missionary leave in the comment section of the time card or leave report (state that it was missionary leave).

If you fill out a time card, put the normal number of hours worked (usually eight hours) for the days gone under other leave. If you fill out a leave report, there is nothing else to fill out.

Employee of the Month

If you receive an extra day of leave due to receiving the Employee of the Month award, there is no need to do anything until you want to use that day. Record the day that you were gone in the comment section of the time card or leave report (state that it was from Employee for the Month award).

If you fill out a time card, put the normal number of hours worked (usually eight hours) for the day that you were gone under other leave. If you fill out a leave report, there is nothing else to fill out.

Inclement Weather

When the university closes for inclement weather (hurricanes, snow, ice, etc.) please follow the instructions below for recording the time on your time card. Only regular, full and part-time employees are eligible for inclement weather leave (nonexempt and exempt). Graduate Assistants and temporary employees are not eligible.

Time Cards:

For the hours that the university is closed just record it under other leave. Make a note under the comment section that those hours were for inclement weather.

Leave Reports:

No record is needed on your leave report.
